NOLOOP S.r.l. and ADC Group are organizing Live Communication Week 2024 in compliance with ISO 20121:2013 standards, committing to offset the carbon emissions generated by the event. This decision stems from the awareness, inspired by the Italian Ministry of Ecological Transition’s guidelines for public procurement in sustainable events (CAM for organizing sustainable events), of the critical role the event organization sector plays in fostering an eco-sustainable culture:
“The implementation of these CAM guidelines aims to reduce the environmental impact of the sector and to promote best practices in accessibility, inclusivity, respect for dignified working conditions, and compliance with health and safety regulations for workers. It encourages public administration to embrace sustainability culture in all aspects, strengthening related competencies.”
For this reason, it is essential that guests actively participate in spreading eco-consciousness and contribute through their actions to minimize the event’s impact on the environment and the local community. Below are some simple guidelines provided by the organization to encourage sustainable behavior.
Travel to and from the Event Venue
- Choose eco-friendly transport options like trains whenever possible.
- For flights, opt for airlines promoting lower-impact flight options if available.
- For car travel, prioritize the most eco-friendly vehicle (hybrid, electric) at your disposal.
- For groups traveling by car, consider car sharing to minimize emissions.
Local Transportation During the Event
- Opt for eco-friendly transportation methods wherever possible.
- When using taxis, request eco-friendly vehicles (taxi apps and call centers offer this option).
- For car travel, prioritize the most eco-friendly vehicle (hybrid, electric) available.
- For group car travel, prefer car sharing to reduce environmental impact.
Accommodations During the Event
- Choose lodgings close to the event location to minimize travel.
- Opt for accommodations with sustainability certifications.
- Request towel changes only when necessary if the lodging does not automatically offer this option.
- Contact the accommodation to confirm if they have soap and hygiene dispensers; if not, consider bringing your own products to avoid single-use items.
- Minimize heating and cooling usage to conserve energy.
- Request recycling options in your room, or alternatively, keep recyclable waste and dispose of it in public recycling bins.
- Ask for glass bottles instead of PET in minibars.
- Bring a refillable water bottle if the lodging offers water dispensers.
- Request metal cutlery and ceramic plates for breakfast if these are not provided by default.
- Limit water consumption: Even if faucets are not timed, reduce water usage to the minimum necessary.
Meals During the Event
- Choose carafe water from dispensers or glass water bottles with returnable options (the restaurant staff can inform you about the policy).
- Opt for D.O.P., D.O.C., and D.O.C.G. ingredients, preferably locally sourced.
- Select traditional local dishes that generally use locally sourced ingredients.
- Prioritize seasonal, local fruits and vegetables.
- Avoid meat from intensive farming whenever possible.
- Choose local or sustainably sourced fish.
- Favor local wines, beers, or other beverages, ideally D.O.P., D.O.C., or D.O.C.G.
- Order the right amount of food and drink to minimize waste.
- Avoid disposable or single-use cups, cutlery, and items as much as possible.
- Refrain from using plastic straws.
At the Event Venue
- Follow local recycling rules to separate waste properly.
- Bring a refillable water bottle to use with the water dispensers provided by one of the event’s sponsors.
- Toilets are equipped with timed faucets; however, please limit water usage.
The organizers thank you in advance for supporting the event’s eco-sustainability efforts.
And what have we done?
- We replaced the internal signage made of forex with signage made of Re Board.
- We collected glass and ensured its proper disposal for recycling.
- We disseminated the guidelines and content of the ISO 20121:2013 certification and CAM for Events (Minimum Environmental Criteria).
- Where possible, we commissioned the production of materials from local businesses.
- Thanks to the venue’s support, we installed signage to raise awareness about responsible water usage in restrooms.
- We established a partnership to use water dispensers with PLA cups, reducing the use of PET bottles during the event.
- We managed to consolidate some transportation for sponsors and partners.
- We organized one-to-one calls with all partners to collect their data for calculating emissions generated by transport, accommodation, and eals, raising awareness about sustainable practices.We encouraged all partners to adopt sustainable mobility during the event.
- During one-to-one calls with partners, we promoted the use of sustainable energy solutions.
- We minimized, as much as possible, the use of plastic bottles for guests by opting for glass products and provided compostable single-use items for coffee stations.
- We tried to source sustainable carpeting, but time constraints didn’t allow us to succeed… we’ll do better next time!
- We encouraged the accommodations hosting partners to embark on a sustainability journey.
- We suggested to all guests, partners, and sponsors some virtuous actions they could personally take during LCW 2024, publishing these on the event’s websites.
- We entrusted ECOEVENTO with collecting leftovers from our buffets.
- For jury questionnaires and printed materials in general, we used recycled paper.
- We set up containers for separate waste collection inside the venue.
- We sent partners a sustainability questionnaire and a data collection template for calculating emissions.
- Partners adopted technologies with the highest available energy efficiency ratings, minimizing environmental impact.
- We paid close attention to minimizing packaging waste, raising awareness among every partner.
- During setup and dismantling, we encouraged the use of reusable bottles and Acea’s water stations to minimize plastic bottle usage.
- We will calculate the impact of every journey and the number of overnight stays for the guests we directly manage, to enable the final CO2 offsetting.
- We will offset the total CO2 produced by the event through the purchase of carbon credits
